Product Information Management (PIM) is the centralized management of all product-related data within a company. A PIM system stores, maintains, and distributes all product information including descriptions, technical specifications, prices, categories, images, and translations in a single location. From there, this data is distributed in real time to all relevant sales channels: online stores, marketplaces, print catalogs, partner portals, and more. The goal is to ensure that the same, accurate, and complete product information is available everywhere without manual duplication or version confusion.

Product information encompasses all data that describes a product and is relevant to customers, sales, and marketing. This includes: basic data such as SKU, product name, description, and category; technical specifications such as dimensions, weight, materials, and standards; marketing and sales copy for different target groups and channels; pricing information and terms; media data such as product images, videos, and 3D models; country-specific translations and localized content; as well as classifications according to industry standards such as ETIM, eCl@ss, or GS1. The larger the product portfolio and the more sales channels used, the more complex product data management becomes and the more urgent the need for a PIM system.

PIM (Product Information Management) focuses exclusively on product data. It is a single-domain system for managing, enriching, and distributing product information. MDM (Master Data Management) has a broader scope: it manages multiple data domains simultaneously not just products, but also customers, suppliers, accounts, and regions within a single system. A PIM is thus a specialized sub-solution within the larger MDM ecosystem. Many companies start with a PIM and later expand to a full multi-domain MDM as data complexity grows.

An ERP (Enterprise Resource Planning) system, such as SAP, handles operational business processes: ordering, inventory management, accounting, and production. It manages product master data only to a minimal extent, sufficient for internal processes. A PIM system, on the other hand, is specifically designed for the channel-appropriate preparation and distribution of product information. It contains significantly more comprehensive product data, supports multilingual capabilities, channel-specific variants, and marketing texts, and feeds this data directly into online stores, marketplaces, and catalogs. Ideally, ERP and PIM work together: The ERP provides the base data, while the PIM enriches it and distributes it to the world.

Data syndication refers to the automated process by which a PIM system distributes product information from the central database to all connected output channels. These can include online stores, marketplaces such as Amazon or Zalando, retailer portals, print systems for catalogs, or EDI interfaces with retailers. Modern PIM systems can perform this syndication in milliseconds; as soon as a product detail is changed, the update is immediately visible across all channels worldwide without the need for manual intervention.

Multilingual support in PIM means that product texts, descriptions, and marketing content can be maintained and displayed in the local language for each target market all within the same system. With BPMN-based workflows (Business Process Model and Notation), these steps are automated, monitored, and documented. This significantly accelerates product launch and ensures that only verified, complete product data is published.

A modern PIM system is connected to SAP in both directions. This means that product master data from SAP is automatically imported into the PIM and enriched there with marketing texts, images, translations, and channel-specific content. Conversely, fully maintained product hierarchies can be transferred from the PIM to SAP. New product variants configured in the PIM can be integrated directly into SAP production processes as new SKUs. Reference data from SAP is mirrored in the PIM in real time, keeping the ERP system lean and the PIM always up to date.
